  62. ===== Information for Users ("READ-ME") ================
  63.  
  64. The Raintree Reservation System is a full working business shareware
  65. program designed to manage reservations and bookings for a variety of
  66. accommodations businesses; including, resorts, inns, motels, bed &
  67. breakfasts, campgrounds, rv parks and large scale billeting operations.
  68.  
  69. This single user version of the program supports up to 50 rooms, sites or
  70. units.  There is another version available to registered users that
  71. supports any number of rooms running as a single user program or on a
  72. network.
  73.  
  74. In addition to organizing reservations, powerful mail manager features
  75. are included to facilitate correspondence with your customer base through
  76. custom letters, or by simply printing mailing labels for a selected
  77. subset of your guest file.
  78.  
  79. You can book reservations up to two years in advance and let the program
  80. calculate room rates on a daily, weekly, or monthly basis, using rate
  81. tables that you design or just enter a fixed rate at reservation or
  82. check-in time.
  83.  
  84. RRS takes the reservation upto check-in.  At that point you can check-in
  85. the guest, or check-in, post a payment and print a check-in folio as a
  86. receipt.  At any time, you can printout lists of current guests,
  87. scheduled arrivals and departures and several source of business reports.

  89. Another feature of the program is the ability to print custom letters.
  90. For example, you can print a custom reservation confirmation letter using
  91. precise information from the reservation form.  See the examples
  92. provided.  RRS also prints a reservation form to keep as a hardcopy
  93. backup of reservations and a custom check-in form that you might choose
  94. to present to guests for a signature at check-in time.

  96. Finally, in addition to many reports, you can over time accumulate a
  97. sizeable guest file that you can use to write custom marketing letters or
  98. print selected mailing labels for sending brochures.  The guest history
  99. file can also provide valuable information about your business activity
  100. and source of business.

  102. RRS does not include front desk or accounting functions. These features
  103. are part of a companion program MotelMAX also published by MKM Software.
  104. If you are using the program at an RV park, use the start command: RRS
  105. RV <Enter> for more specific formatting of some screens and reports.

  134. Hardware Requirements
  135. ---------------------
  136.  
  137. This program requires an 80386SX based computer or better. It will not
  138. run on PC-XT or PC-AT computers.  You need to have DOS version 3.3 or
  139. higher.  It is recommended that you have DOS 5.00 or later.

  142. How to Learn the Program
  143. ------------------------
  144.  
  145. This program has many more features than can be easily explained. The
  146. fastest way to learn what RRS can do is to use the program.  Start by
  147. selecting RESERVATIONS from the Main Menu and enter a few new
  148. reservations.  Press the <Insert> key while you are in the reservation
  149. browse table to add a new reservation.
  150.  
  151. Always refer to the bottom of the screen for a list of options.  Or if
  152. you have to input data, the bottom of the screen will contain a message
  153. telling you what information to enter.  Generally speaking, from within
  154. any browse table, press, <Insert> to add a new entry, whether a
  155. reservation, a new guest, a new room setup, etc.  Press <Enter> to edit
  156. the currently highlighted entry in the browse table, or press <Delete> to
  157. delete the highlighted entry.  These keys are referred to throughout the
  158. program screens as <Ins>, <Ent> and <Del> respectively.
  159.  
  160. Also, press F1 for context sensitive help.  The help screens provide more
  161. detailed explanations of your options.  Once you enter a few
  162. reservations, next begin selecting those options that let you view
  163. reports and letters.  The important thing to remember is you cannot make
  164. a mistake and later you can go back and edit (by pressing <Ent>) or
  165. delete (by pressing <Del>) any reservations you have entered.

  168. RRS Setup
  169. ---------
  170.  
  171. The RRS program comes with sample data so you can begin using it right
  172. away.  One thing you will want to do is to enter your own room numbers.
  173. Do not delete the existing room setups, simply change the numbers to
  174. match your rooms.  This is easier and faster.  Also, at any time you can
  175. rebuild the room availability tables and RRS will update room inventory
  176. with the correct totals and advise you if there are any error cases,
  177. reservations with undefined room numbers.

  211. DOS Installation
  212. ----------------
  213.  
  214. Unzip the Raintree zip file into any directory on your hard drive.  We
  215. suggest creating a new directory called \RRS.  The DOS command to make a
  216. new directory is: MD \RRS <Enter>
  217.  
  218. The installation directory, \RRS, must be the default directory whenever
  219. you start the program.  To make \RRS your default directory, use the DOS
  220. change directory command, type: CD \RRS <Enter>
  221.  
  222. The program start command is: RRS <Enter>.
  223.  
  224.  
  225. Trouble Shooting:
  226. ----------------
  227. If you have any problems installing and running the program, try this:
  228.  
  229. 1. Be sure you are in the \RRS directory before you start the program.
  230. The DOS command to change to the \RRS directory is: CD \RRS <Enter>.
  231.  
  232. 2. Check your CONFIG.SYS file.  Be sure the FILES=  setting is 45 or
  233. higher: FILES=45  If you change this setting in your CONFIG.SYS file,
  234. reboot your computer.
  235.  
  236. 3. After checking points 1 & 2, try restarting the program with this
  237. command: RRS NEW <Enter>.  The NEW switch will verify that all files are
  238. present.
  239.  
  240.  
  241. Windows 3.x and Windows 95
  242. --------------------------
  243. You can launch Raintree from an icon in any version of Windows.  First,
  244. install the program according to the DOS installation instructions.  For
  245. this example, we assume you have installed Raintree in a directory called
  246. C:\RRS.
  247.  
  248. Create an icon using the Windows Program Manager, select FILE | NEW and
  249. create a 'Program Item.'  Next edit the 'Program Item Properties' to read
  250. as follows:
  251.

  253. Command Line.....: C:\RRS\RRS.EXE
  254. Working Directory: C:\RRS
  255.  
  256. Now you only need to click on the icon to start Raintree.  When you exit
  257. the Raintree program, you return to the Windows Program Manager.  You
  258. have to correctly identify the 'Working Directory' in order to launch
  259. Raintree from Windows.

  271. Events Calendar.  Mark as many events as you like on your events
  272. calendar.  You can optionally turn on the <Event Alert> feature.  This
  273. feature notifies operators when they book a reservation that spans a
  274. calendar event.  A pop-up message appears with a note instructing the
  275. operator on how to book this reservation.
  276.  
  277. Quick Reservation.  On the reservation browse table, press <Ctrl-Ins>
  278. for a quick reservation.  You can enter the entire reservation on a
  279. single form.  This option is for first time guests only.
  280.  
  281. Reservations by Arrival.  You can now choose to view reservations for one
  282. arrival date.  The screen includes only reservations for that date. Press
  283. the <Tab> key to select another date.
